Microsoft outlook 2003

I work in the computer department of my church.  One of my responsibilities is to update our "workgroup" (distrubition list) in outlook 2003.  the way I do that is update mine and send a copy to each employee.  They in turn have to delete the old one and past the new one into the contacts list on their computer.  Next they have to go and delete the "workgroup' from the auto save feature in the To box. Finally they need to send a new email to the "workgroup" by clicking on the To box, finding it in their contact list and clicking okay. 

Is there an easier way for my coworkers to do this?

Without an Exchange server, I think you are using the best solution possible.

There might be some 3rd party IMAP mail servers which you could use to share a Contacts folder, but I haven't tried setting anything like that up yet.

Look for Outlook sharing.
Plenty of solutions out there to share contact flders.
But for distributed, loosely connected users, probably best to share by syncing with a Google Contacts folder (I think!). Works for Calendar.
